Job Description Summary

The Project Coordinator, Administrative provides administrative support to the Division/Office Leader. This key role carries out a variety of administrative functions across the entire division/office. This role requires a highly motivated, self-starter willing to assume a wide range of responsibilities in a fast-paced professional environment.

Responsibilities

  • Under limited supervision, performs a variety of administrative tasks and moderately complex assignments in direct support of the Division/Office Leader
  • Plans and organizes work to meet needs of department
  • Coordinates projects/tasks across various departments, both internally and externally
  • Interacts with various levels of contacts inside and outside the organization
  • Maintains standards of confidentiality with respect to all matters and documents
  • Ensures high level of accuracy in all details and manages priorities
  • Researches assignments, processes, and analyzes data
  • Handles routine problems and unexpected situations and provides assistance in problem resolution
  • Uses various PC software packages, including spreadsheets, word processing and graphics to produce high quality reports, tables, graphs, presentations, and other documents
  • Plans, coordinates, and executes internal and external events hosted by OCA, including operations, set-up, travel, hotel, food, purchase order processing, communication with event participants, event budget management, and post event follow-up activities, establishes and maintains relationships with third-party vendors, such as hotels and event caterers
  • Assists with maintenance of internal Sharepoint sites
  • May assist with time keeping, performance management, and requisitions for the division/office
  • Performs administrative duties:
    • Maintains the calendar using Outlook
    • Schedules and organizes appointments, meetings, and conferences
    • Answers and screens incoming calls, delivers messages in a timely manner and directs accordingly
    • Opens and distributes mail
    • Writes, edits, and proofreads correspondences, reports, proposals and various other documents
    • Creates, copies, organizes and maintains confidential files and records
    • Coordinates travel arrangements and processes expenses
    • Reviews reports and budgets
    • Anticipate need for, procure, and maintain inventory of office supplies
  • Other duties and special projects as needed             
Requirements

Qualifications

  • BA or BS in a related field preferred; High School Diploma or G.E.D. required
  • Minimum of 6 + years of solid administrative experience in a professional atmosphere
  • Typing:  55 + wpm
  • Proficient in Microsoft Word, Excel, PowerPoint, Internet, and Outlook applications
  • Excellent written and oral communication skills
  • Ability to effectively communicate with all levels of management, co-workers and external parties
  • Solid time management, organization, and prioritization skills
  • Ability to meet deadlines and make effective decisions
  • Ability to handle confidential matters with professionalism and discretion
  • Ability to multi-task, work effectively under pressure, meet deadlines, and be flexible
  • Ability to work non-standard hours and overtime as needed in a fast-paced, team-oriented environment
  • Ability to work with limited supervision and exercise good judgement
  • Detail-oriented and proactive
  • Self-starter and a high degree of initiative
  • Must have a professional positive attitude and have strong problem solving skills
